AI-Personalized Outbound Sequencing for New Business Development

The problem

A boutique staffing and recruitment firm needed a steady stream of new client business, but its only lever was manual cold outreach — one person writing, sending, and following up on emails by hand. That caps growth at whatever a single person can personalize and track in a day, and generic, templated outreach doesn't get replies from hiring managers who get pitched constantly. Worse, there was no real signal behind who to contact: without a way to tell who's actually hiring right now, most outreach lands on companies with no open need at all. Every reply also had to be caught manually across whichever inbox it landed in, so leads went cold simply because nobody saw the response in time.

The build

The system starts from a live signal: target companies come from actual job postings, so outreach only goes to companies that are hiring right now. It enriches each company to find the internal recruiter or hiring manager handling that role, drafts a personalized five-email sequence in the sender's own voice, and sends it from a rotating pool of inboxes on a randomized, business-hours-only schedule so it reads as a real person. The moment any recipient replies, the sequence stops instantly and a human takes the conversation from there — the automation starts the conversation and gets out of the way; it never negotiates or closes.

Job postings resolve to a company via Apollo's organization search, then a second Apollo call finds recruiter and hiring-manager contacts at that company with a verified email. An LLM chain drafts a five-touch sequence personalized to that person and role, validated against a structured schema. A scheduler running every three minutes, restricted to business hours, sends the next due email per eligible contact from one of ten rotating sender accounts, with randomized delay to avoid a robotic send pattern. Six inboxes are polled every sixty seconds for replies, which immediately halt further sends to that contact. A separate reporting branch aggregates open events into a pivot and renders it as an on-demand HTML dashboard.

The outcome

The system reliably produces 4 new client relationships a month, each worth roughly $15,000 in value once signed" $60,000 a month in new business traceable directly to this outreach engine, or $720,000 a year at that run rate, without adding a single person to the team.
